This position reports to the Staff VP of Compensation/Benefits and provides adminis! trative and analytical support to each department member of the Benefits department. The primary role is to understand the various internal and external benefit resources and provide guidance to each employee/retiree customer who calls the department with a question/concern. Response to each customer will be based on their individual need and the specific capability of the benefit vendors/resources. This position requires strong phone communication skills with the ability to filter through emotion, understand the issue/question and provide caller with guidance on steps the employee should take to get the appropriate research/response. Also, this position requires strong skills in time management, setting and adjusting priorities, written communications and computer skills. Customer Service â" Benefit Resource Management
Serves as the main point of contact for the Employee Benefit Depart! ment; must consistently and reliably answer the phone with a l! imited number of calls going to voicemail. Must understand the impact of phone support as having a high impact on overall department productivity and know how to define standard, urgent and critical issues to avoid unneeded disruption of department members. Key objective is it point employees to the appropriate benefit resource with clarity and compassion and without creating a department follow-up item for standard and urgent issues/questions.
Functional Department Support
Various department functions such as retirement, compliance, health and group insurance and disability require direct support from this position. Below is a list of such responsibilities:
Ad hoc requests for managing spreadsheets, creating PowerPoint slides, evaluating reports, auditing procedures and drafting department emails.
QMSCOâs and QDROâs - Copy documents and forward to appropriate area for processing; Maintain record of documents received; Respond to ques! tions regarding status
Support the Benefit Appeal Process - receive and distribute to appropriate Benefit Specialist for research; enter appeal information into Appeals Spreadsheet; schedule appeals meetings and send reminders; copy de-identified appeal summary for monthly meetings; maintain Appeals notebook with copy of outcome letter and supporting documentation.
Support the Benefit Audit Process - Provide administrative support for the various annual benefit audits; make follow-up calls to locations as necessary to obtain requested information.
Benefit Deduction Adjustments - Review PeopleSoft panels for under/overpayment of benefit deductions and provide information to Benefit Specialist; when appropriate, email benefit deduction and refund information to Payroll.
Invoicing and Accounts Payable - Assist with preparation of monthly invoices; deliver appropriate materials to Accounting; maintain accurate files
Purchase Order En! try (Arriba)
Administrative Department Support
Depart! ments operate through a large number of conference calls and meetings, both internal meetings and external meetings with field HR personnel and over ten external vendors.
Schedule department meetings using Microsoft Outlook; work with vendors, as appropriate to coordinate meeting logistics.
Schedule on-site meetings with benefit vendors, including drinks, lunch, dinner if needed.
Schedule monthly Talking Points webcast
Maintain up to date mail group in Outlook and contact lists
Arrange travel, lodging and car reservations
Sort and distribute department mail
Order and manage department supplies
Manage envelopes and fulfillment of benefit communication mailings, as needed.
Maintain file room and resource room
Other Duties as Assigned
Support the Compensation departmentâs mail and phone needs
Update documents and employee communications using Word, Excel and PowerPoint!
Create spreadsheets, letters, and presentations as needed.
Provide assistance to department as needed
Required Skills
Education and Experience
Five years of office management experience or equivalent combination of education and experience.
Strong interpersonal skills and ability to handle benefit complaints. Multi-tasking is essential and must be able to prioritize and re-prioritize on a daily basis in order to meet deadlines in a fast past environment.
Intermediate to advanced experience with Microsoft Office products including Outlook, Word, Excel and Power Point. Working knowledge of PeopleSoft HR/Payroll system.
Ability to work with confidential information and provide administrative and clerical support to multiple people.
Ability to prioritize tasks and willingness to assist others within the department and the company.
