Reporting to the Chair of Psychology, the Administrative Specialist provides office management and administrative support for the Department, Chair of Psychology, and the Director of the School of Psychology Program. Manages the Department office, including scheduling and supervising undergraduate and graduate assistants; creates and maintains department personnel, curriculum and purchasing files; maintains and updates department forms, policies and procedures; and responds to requests from faculty, university personnel, students and prospective students, school districts and other agencies, and the general public. Provides support for all psychology courses (including off-campus courses); coordinates course registration and override requests from students; prepares course materials for faculty as requested; orders and maintains supplies and equipment; and orders online and controlled test materials. Prepares department personnel paperwork; oversees payroll for department assistants and school psychology interns; and coordinates actions with the Dean's office and other University offices. Manages and maintains department inventories and purchasing; processes information requests, internship contracts, requisitions, p ersonnel paperwork and payroll forms for the Director of the School of Psychology Program; and serves as primary contact and communications manager for the Department. Processes background checks for interns and internship contracts with local school districts and agencies. Performs other related duties as required.
Minimum and Additional Requirements: Associate's degree and three years of administrative experience or a High School diploma and five years of administrative experience required. Knowledge of office management policies and practices. Ability to communicate effectively, both orally and in writing; exercise judgment and discretion in handling confidential information and interpreting and applying departmental policies and procedures; plan ahead and work independently while effectively organizing and coordinating with others; supervise graduate and office assistants; and establish and maintain effective working relationships with faculty, staff, students and t he general public. Sufficient technical ability to learn software necessary to perform job functions.
Preferred Qualifications: Bachelor's degree and proficiency with Microsoft Word, Excel and Outlook preferred.
