Overview:
Position Summary: The Patient Services Rep II provides patient-families with a positive experience for the Neonatal department at CHLA by performing clerical tasks primarily associated with answering incoming calls, registration, and patient check-in/out procedures, collection of patient co-pay or deductibles, scheduling and verifying patient appointments. Completes financial clearance and authorization duties, serves as the administrative support for assigned providers. Works closely with assigned providers to ensure follow up care is completed. Assists with creation and review of divisional performance reports and metrics.

This is an independent role that requires a lot of time management, prioritization and being responsible in looking ahead of worklists and tasks. The candidate filling this role needs to be detail oriented to avoid making mistakes when requesting authorizations and listing copays in patient documentation.

Key Responsibilities include:
  • Ensures all inbound phone calls are answered, always following CHLA service standards and etiquette.
  • Triages calls helping to ensure callers are connected with the appropriate staff to assist them. Provides general information to caller while following HIPAA standards at all times.
  • Greets patients, parents and visitors following CHLA service standards at all times. Responds to questions and concerns; seeks out the appropriate resources if questions cannot be answered.
  • Utilizes KIDS (Cerner) to check-in patients upon arrival, verifies demographics, assists patients/parents in completing necessary forms, reviews and clarifies patient information questionnaire with parents or guardians. Responsible for checking patients out at the end of clinic visit.
  • Within guidelines for organization, department and clinic, schedules a variety of appointments in KIDS and other engages in documenting in referral systems, communicates with provider, care team and leadership to facilitate timely and appropriate scheduling.
  • Performs general clerical duties including but not limited to photocopying, faxing, distributing mail, , etc., as assigned. Provides support in other areas of the division when needed.
  • Assist with creating, reviewing and/or working division performance reports (hold buckets, charge reconciliation, etc.).
  • Assists with training and orienting new employees.
Minimum Qualifications: 1-year experience in medical front office setting, 3+ years in medical office setting preferred.
  • Bilingual English/Spanish is preferred.
  • Appointment scheduling, eligibility verification and authorization experience a must.
  • Experience in medical call center or customer service centric in fast paced/high volume environment.
  • Strong interpersonal and communication skills (written and verbal) with great prioritization skills and dependable demeanor.
  • Must have the ability to think logically/critically and work independently and work well with others.
  • Must be proficient in: MS Word, Excel, Outlook and EMR platform.
  • Work well with team and providers.
Education/Licensure/Certifications: High school diploma or GED required.
Pay Scale Information: USD $34,944.00 - USD $56,212.00

The pay scale listed for this position is generally for candidates that meet the specified qualifications and requirements listed on this specific job description. Additional pay may be determined for those candidates that exceed these specified qualifications and requirements.
